Your details, and how we use them.
This notice explains what we do with the details you give us through this website, narasrealestate.co.uk, and when you contact us by WhatsApp, phone or email. It doesn't cover the Naras Property Management or Naras Holiday websites.
Who we are
Naras Real Estate Ltd is the controller of your personal data. That means we decide how it's used, and we're responsible for looking after it.
- Registered in England and Wales, company no. 15654794
- Registered office: 47 Miall Road, Birmingham B28 9BS
- Email: contact@narasrealestate.co.uk
- Phone: 0121 828 9881
For any question about your data, email us at the address above.
What we collect
When you send an enquiry or register your interest
Our forms ask for:
- your name and email address
- your WhatsApp number
- the country you live in
- what you're interested in, your budget band and your timeline
- your message
- your consent for us to reply, and when you gave it
You only have to give your name, your email address and your consent. The rest is up to you. Please don't include sensitive details in your message, such as health information, passport numbers or bank details.
If you came to the site from one of our campaigns, the form also records the campaign tags in the web address you arrived on (known as UTM tags), such as the campaign's name. They tell us which campaign brought you, not who you are.
When you contact us directly
If you message us on WhatsApp, call us or email us, we keep your contact details and what you tell us, so we can reply and pick up the conversation later.
WhatsApp is a Meta service. Meta handles your WhatsApp account and messages as an independent controller, under WhatsApp's own privacy policy (opens in a new tab), not on our behalf.
When you send us your CV
If you email us your CV, we use it and anything else you send only to consider you for a role with us. The people who read it are the team members involved in hiring. Our lawful basis is our legitimate interest in recruiting, and taking steps at your request before a possible contract. We keep it for up to 12 months in case a suitable role comes up, then delete it. You can ask us to delete it sooner at any time.
When you visit the website
Each time you load a page or send a form, the web server records technical details such as your IP address, the page requested, the time and your browser type. These server logs are kept by our hosting provider, Hostinger, to keep the site and its forms secure and working. We don't use them for marketing or to build a profile of you.
When you send a form, our own server also keeps your IP address, only to limit how many messages can be sent from one connection and so stop spam. Once an hour has passed, it's deleted the next time anyone sends a form.
We don't use analytics, advertising tags or cookies, and nothing is stored on your device. Our cookie notice explains more.
Why we use it, and our lawful basis
- To reply to your enquiry and talk to you about what you're looking for, including the automatic email that confirms we've received it. Lawful basis: your consent, which you give with the tick box on the form.
- To answer you when you contact us directly by WhatsApp, phone or email. Lawful basis: our legitimate interest in replying to people who get in touch.
- To keep the website and its forms secure, stop spam and look into misuse. Lawful basis: our legitimate interest in running a safe website.
- To meet our legal duties, for example if a regulator or the police ask us for information. Lawful basis: legal obligation.
You can withdraw your consent at any time by emailing us. We'll then stop using your details to contact you. Withdrawing doesn't affect anything we did before.
We don't sell your details or share them for advertising. We won't send you marketing emails unless you've asked for them. Apart from the automatic spam checks on our forms, we don't make decisions about you by automated means.
This notice covers enquiries. If you go on to work with us, we'll need more information, such as the proof of identity that anti-money-laundering law requires, and we'll explain how we use it at the time.
Who we share it with
- Hostinger, our hosting provider, which runs this website, its forms and the database where enquiries are stored, and our email provider, which holds the mailbox where enquiries arrive. Both act only on our instructions, as our processors.
- Professionals we introduce you to, such as solicitors, FCA-authorised mortgage brokers and currency providers, and accountants, only when you've agreed to the introduction. They then use your details under their own privacy notices.
- Naras Property Management or Naras Holiday, only when your enquiry is about a service they provide and you've agreed.
- Regulators, HMRC or the police, when the law requires us to.
Transfers outside the UK
Our main team is in the UK. Members of our teams in Malaysia, Egypt and the UAE may read and reply to enquiries from those countries. Hostinger and our email provider may also store data in data centres outside the UK. Where UK data protection law requires it, we put appropriate safeguards in place for these transfers, so your details keep the same protection. Email us if you'd like to know more about them.
How long we keep it
- Enquiries that don't lead to working together: 24 months from the last time we were in touch, then we delete them. This applies whether you contacted us through the website, WhatsApp, phone or email.
- If you become a client: for as long as the law requires. We'll explain this when you sign up.
- CVs: up to 12 months, unless you ask us to delete yours sooner.
- IP addresses kept to limit form sends: an hour, then deleted the next time a form is sent.
- Server logs: for a limited period, under Hostinger's own security practices.
If you withdraw your consent or ask us to delete your details sooner, we will, unless the law requires us to keep them.
Keeping it safe
The website uses an encrypted connection (HTTPS), and enquiries are stored where the public website can't reach them.
Your rights
Under UK data protection law (the UK GDPR), you can ask us to:
- give you a copy of the personal data we hold about you
- correct anything that's wrong or incomplete
- delete your data
- restrict how we use it
- stop using it where we rely on our legitimate interests
- give you the data you sent us in a format you can pass to another organisation
To ask, email contact@narasrealestate.co.uk. We'll reply within one month, and there's usually no charge. We may ask you to confirm who you are first.
Complaints
If you're unhappy with how we've used your details, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk (opens in a new tab).
Changes to this notice
We'll update this notice before we change how we use your details, for example before adding analytics or a booking tool, and change the date at the top.
